Job Type: Full-Time
Pay: $58,000–$68,000 annually
Schedule: Standard business hours with flexibility for occasional urgent maintenance needs; 10–20% travel

The Facilities & Maintenance Operations Coordinator plays a key role in keeping our swim schools safe, operational, and running smoothly by coordinating maintenance requests, vendors, and communication across multiple locations.

What You’ll Do

  • Maintenance Coordination & Intake – Receive, organize, and track maintenance requests while gathering key details like photos, vendor history, and urgency level
  • Prioritization Support – Help prioritize maintenance needs based on safety, guest experience, operational impact, and cost
  • Vendor Scheduling & Dispatch – Coordinate with approved vendors to schedule repairs, request quotes, and manage service timelines
  • Follow-Up & Work Order Management – Ensure work orders are progressing by following up with vendors and school teams and preventing delays
  • Tracking & Documentation – Maintain accurate records of maintenance activity, including timelines, costs, invoices, and service history
  • Preventative Maintenance Support – Track preventative maintenance schedules and follow up on overdue or upcoming service needs
  • Vendor Management Support – Maintain vendor contact lists and service records across multiple markets
  • Communication & Coordination – Act as the central point of communication between school teams, vendors, and corporate stakeholders
  • Issue Escalation & Trend Identification – Escalate complex or high-cost issues and identify recurring maintenance trends
  • Travel & On-Site Support – Travel as needed to support inspections, openings, projects, or major repairs

What We’re Looking For

  • Relevant Experience – 2+ years in coordination, dispatch, operations support, facilities support, property administration, or a related role
  • Organization & Multitasking – Strong ability to manage multiple priorities, track details, and follow up consistently
  • Ownership & Urgency – Takes initiative, follows through, and ensures tasks are completed in a timely manner
  • Adaptability in Fast-Paced Environments – Comfortable handling frequent context switching and shifting priorities
  • Remote Work Capability – Able to work independently while staying connected and collaborative with a distributed team
  • Systems & Technical Aptitude – Comfortable learning and using work order systems, ticketing platforms, or maintenance tracking tools

Preferred:

  • Vendor Coordination Experience – Experience working with service providers or managing vendor relationships
  • Facilities or Maintenance Background – Familiarity with facilities coordination, maintenance support, or property administration
  • Technical Knowledge – Basic understanding of HVAC, plumbing, electrical, or general building maintenance terminology
  • CMMS / Work Order Systems Experience – Experience using maintenance tracking or work order platforms
  • Multi-Site Operations Experience – Experience supporting multi-location businesses such as retail, restaurant, childcare, fitness, healthcare, hospitality, or franchise environments
